Title: Conference & Events Manager Office/Department: Operations
Description: This position is responsible for scheduling and coordinating all campus events while serving as the primary point of contact for both internal and external clients regarding meetings and room reservations. The role includes managing the Astra Schedule system as the campus system administrator, ensuring accurate system data, and training campus users on scheduling processes. The coordinator responds to client inquiries by providing detailed information and professional guidance on event planning, logistics, policies, and deadlines, while acting as a consultant throughout the process. Responsibilities include approving or denying facility reservation requests, communicating event details to appropriate departments for necessary approvals, and coordinating closely with event support staff to ensure seamless execution. The position also requires organizing pre-event meetings, preparing clear and timely communication of all event requirements, and overseeing logistical elements such as space, services, media, rentals, contracts, and parking.
Additionally, the role manages all aspects of the Summer Conference Program, including handling inquiries, developing contracts, setting fee structures, billing, securing insurance documentation, coordinating accommodations, and directing support staff workflows. The coordinator is also responsible for overseeing wedding-related events on campus, which includes maintaining website information, scheduling event dates, coordinating staffing for ceremonies and receptions, and working closely with clients to ensure their vision is successfully executed.
Requirements: A bachelor’s degree in Business Administration, Business Communication, Economics, or a related field, along with 1-2 years of relevant business experience, is required; prior supervisory experience is preferred. Proficiency in computer applications and office software is essential, along with excellent communication skills, discretion, and the ability to manage multiple priorities with professionalism and grace. A strong, demonstrated understanding of and commitment to the Christian mission and vision of Grove City College is essential.
